Refund & Cancellation Policy

1. Cancellation Policy

All cancellations must be submitted in writing via email. The date of cancellation will be considered based on when the request is received by CosyTravels.


2. Refund Structure

(Refund is calculated on 100% of the total tour cost)

  • 90 days or more before departure
    → 50% refund
  • 60 days before departure
    → 25% refund
  • 30 days or less before departure
    → No refund

3. Advance Payment & Refund Eligibility

  • The initial 50% advance payment is non-refundable, except as per the refund structure above.
  • No refund will be applicable for:
    • No-show
    • Last-minute cancellations (within 30 days)
    • Unused services during the tour

4. Special Circumstances

In exceptional cases such as the death of an immediate family member (blood relation only):

  • Refunds may be considered on a case-by-case basis
  • Valid proof (e.g., death certificate) is required
  • Deductions will apply for:
    • Service charges
    • Hotel, transport, and other pre-booked services

5. Amendment Policy (Prepone / Postpone)

  • Requests must be made at least 30 days before the travel date.
  • One-time change is allowed without additional charges.
  • Any further changes will attract applicable fees.
  • Changes within 15 days of travel are not permitted.

Important Notes:

  • All amendments are subject to availability of hotels, transport, and flights.
  • Some vendors may apply their own rescheduling charges.
  • Any such charges will be deducted from the advance payment.

6. Validity of Advance Payment

  • The advance payment remains valid for up to 1 year from the booking date.
  • Bookings can be transferred to friends or family members, subject to approval and conditions.

7. Refund Processing

  • Approved refunds are processed within 1–2 working days.
  • The amount will be credited to the original payment method or bank account.
  • Any applicable bank or transaction charges may be deducted.

8. Pricing & Policy Changes

  • CosyTravels reserves the right to revise pricing due to:
    • Government regulations
    • Market conditions
    • Supplier cost changes
  • Refunds will be processed only as per the applicable policy at the time of booking.

9. Non-Refundable Services

  • Certain services may be completely non-refundable, including:
    • Flight tickets (if booked)
    • Last-minute hotel bookings
    • Peak season reservations

These will be communicated at the time of booking.
